Every "Start a project" button on this site used to do the same thing every other small-business website does: open your email client with a blank message. That's not automation — it's a slightly nicer mailto link, and it has the same failure mode as a plain contact form. Nothing happens until someone opens their inbox.

We replaced it with something we actually run ourselves. Not a mockup, not a slide in a pitch deck — the same system that captured the lead if you filled out the panel on this page.

What it replaced

The old version fired a mailto: link and stopped there. Fine if someone's at their desk with email open. Not fine on a Saturday night, when the lead sits in an inbox until Monday — the exact problem we wrote about in 5 Signs Your Website Is Losing After-Hours Leads. We were doing it to our own site while telling other businesses to fix it on theirs.

What we built instead

A guided intake panel walks a visitor through a few questions — what they need, roughly what it involves — and captures a name, email, and optional phone number. No live AI in that part; it's a scripted decision tree, deliberately, for the same reasons we'd recommend to a client: it's instant, it never hallucinates a price, and it costs nothing to run at any volume.

The part that matters more happens after submit. That captured lead fires to two channels at once — email and Telegram — not one, then the other. Both get tried in parallel, and the response reports which ones actually went through.

Then it goes further: reply to that Telegram message from a phone, no laptop required, and the reply gets forwarded straight to the lead's inbox automatically. No app to open, no dashboard to check — just reply the way you'd reply to a text.

Why two channels, not one

A single notification channel is a single point of failure. Email delivery can lag; a phone can be face-down on a counter. Firing both, independently, means one being slow or down doesn't cost the lead — and it's the same accountability principle behind AI Front Desk: something specific is responsible for making sure a lead doesn't just sit there.

The honest part

This isn't a chatbot pretending to be smarter than it is. The guided questions are scripted on purpose — reliable, free to run, never wrong about a price. The one place it's built to extend later is the open-ended "something else" branch, which could eventually call a real model without touching anything else in the system. We haven't done that yet, and we're not pretending we have.

This is what Internal Tools & Automation actually looks like day to day — not a slide, a live system, still running on this page right now. It's part of what we build for businesses across Central and South Texas.
